Essential Supplies Every Host Should Have for a Perfect Party

Planning a party sounds simple until you’re actually doing it. You think: “I’ll just grab some snacks, maybe a playlist, done.” And then—bam—you remember cups, chairs, decorations, and suddenly you’re googling “last-minute party hacks” at midnight. Happens to the best of us. Having the right supplies ready isn’t about being fancy—it’s about making sure you actually enjoy the night instead of running around refilling chip bowls.

And yes, I’ll say it early: balloons. They’re cheap, colourful, and somehow instantly flip a room into “party mode.” But don’t stop there—there are a handful of other essentials every host should keep on hand.

1. Décor That Does the Heavy Lifting

No one walks into a plain room and feels like celebrating. You need some visual signals – bound to chairs, streamers at the door, perhaps fairy lights wrapped in a corner. It should be a Pinterest-Peer; This is just to feel deliberate.

Lighting matters too. Overhead lights? Harsh. A couple of floor lamps or candles? Much better. I once threw a birthday with nothing but string lights, and it somehow looked way more thought-out than it really was.

2. Food (Because Hungry Guests Get Cranky)

Let’s be real: people hover near the food. Always. This does not mean that you need five-cure food. Think finger foods: sliders, chips, dips, fruit scavers. You can eat anything while cooking the drink from one hand to another.

Drinks are just as important. Stock sodas, juices, water, and yes, something stronger if your crowd is into it. One thing I’ve learned—buy too much ice. You’ll never regret it. Warm drinks in solo cups? Instant mood killer.

3. Space and Seating (AKA Don’t Make People Stand All Night)

Ever notice how everyone ends up jammed in the kitchen, no matter how much space you have? To spread folks out, make the living room or backyard more appealing. Pull out additional chairs, toss the floor cushion, or even picnic blankets out. People do not care if chairs match; They do not want to balance just a plate.

4. The Showstopper: Balloon Arches

If you want that “wow” factor without spending a fortune, go for balloon arches. They’re not just for kids anymore. Stick one at the entrance or behind the snack table, and suddenly your house looks like an event venue. Guests love taking photos with them too (which, let’s be honest, is half the point these days).

Pro tip: it takes more balloons than you think. Buy double. Trust me. The first time I tried, I ran out halfway and ended up with something that looked less like an arch and more like a lopsided caterpillar. Still fun—but next time I came prepared.

5. Music, Always Music

Silence at a party feels… weird. Even background music is better than nothing. Start chill while people are arriving, then ramp it up once the night gets going. If you’re not into curating playlists, just steal one from Spotify or YouTube.

Games can save the day, too. A deck of cards, charades, and karaoke if you’re brave. I once pulled out Jenga at midnight, and it turned into the loudest part of the evening.

6. The Boring Stuff You’ll Kick Yourself for Forgetting

Nobody brags about napkins, but forget them and you’ll know it. The same goes for:

  • Plates, cups, forks, spoons.
  • Serving spoons (so people don’t use their hands).
  • Trash bags—you’ll thank yourself during cleanup.
  • A cooler or ice bucket.
  • Paper towels. (Always. Someone will spill.)

Not glamorous, but completely essential.

7. Comfort Touches

Little things make guests feel looked after. A few blankets if it’s chilly, bug spray for outdoor nights, and even a basket with tissues or sanitiser. Doesn’t sound like much, but it says, “I thought about you.” And people notice.

8. Don’t Forget the Memories

Set up a corner with props or just a plain backdrop for photos. People love having something to post. Disposable cameras are fun too—you’ll get random, blurry, hilarious photos you’d never take on a phone.

Party favours? Totally optional. A bag of sweets, leftover cake, or a small candle can be a sweet send-off. No one expects it, but everyone loves it.

Wrapping It Up

Here’s the truth: the “perfect party” isn’t perfect at all. Something always goes sideways—music cuts out, balloons pop, drinks spill. Doesn’t matter. What people remember is how they felt. If you have food, drinks, music and little decorations (balloons, miracles), then you are already winning.

If you want a wow factor, add a balloon arch, but do not stress about the details. A comfortable host sets a more tone than any decoration. So stock the basics, crank music, and reveal at night.
